Yes! With Forms & Flows, you can create finalized, signed PDF versions of forms, such as Digital Device Agreements, permission slips, or waivers, that include all user responses and digital signatures.
Here’s how it works and how you can store completed forms in systems like Google Drive.
How Signed PDFs Work in Forms & Flows
We use a process called PDF mapping, where we align your existing PDF form with digital fields in Forms & Flows. When a user completes the form:
- Their responses are placed directly into the corresponding fields on your PDF template.
- Digital signatures are captured and inserted.
- A clean, finalized, and professionally formatted PDF is generated automatically.
This signed PDF serves as a permanent record and can be downloaded or printed for your files.
Storing Completed PDFs in Google Drive
While Forms & Flows does not include a built-in automatic sync to Google Drive, you can still easily store your completed PDFs there:
- Download the PDF: From the form’s response dashboard, you can download individual or bulk PDFs of completed forms.
- Upload to Google Drive: Manually upload the downloaded PDFs to the appropriate folder in your Google Drive.
This process ensures you have a secure, cloud-based archive that’s accessible to authorized staff.
Access Signed PDFs Directly in Forms & Flows
You can also avoid manual downloads by granting specific users (e.g., librarians, office staff, or department heads) access to view and download signed PDFs directly within Forms & Flows:
- Assign role-based permissions so team members can access only the forms they need.
- No exporting required — forms and signatures are stored securely within the platform and available on demand.
