Forms & Flows integrates with Stripe, a leading secure payment platform, to allow you to collect fees and payments directly through your forms. This guide explains how it works and how you can track everything for your accounting needs.
 

How the Integration Works

  1. You Connect Your Account: You will need to set up your own Stripe account. Forms & Flows then securely connects to your Stripe account—we never hold or manage your funds.
  2. Collect Payments: Once connected, you can add payment questions to your forms. When a user submits the form and pays, the funds are deposited directly into your Stripe account.
  3. Full Visibility: Because the payment processing happens through your direct Stripe account, you have complete access to all reporting, transaction details, and accounting tools that Stripe provides.

Tracking Payments for Accounting

This is a key strength of using Stripe. Since all payments flow into your Stripe account, you have powerful tools at your disposal for tracking and reconciliation.

Here’s how you can track what payments are for:

  • Detailed Transaction Records: Every payment in Stripe is tied to a specific form submission. You can see the customer's name, email, amount, date, and the status of the payment.
  • Custom Descriptors: You can often configure how the charge appears on a payer's bank statement (e.g., "[Your School Name] - Field Trip Fee").
  • Robust Reporting & Exports: Stripe provides comprehensive dashboards and the ability to export detailed financial reports. You can filter transactions by date, form, or amount and download them as CSV files for easy import into accounting software like QuickBooks or Xero.
  • Receipts: Stripe automatically sends email receipts to payers, which include a description of the payment and a unique transaction ID.
