Community Edition
The Parent / Guardian Contact Validation option for schools, helps keep parent and guardian emails, phone numbers and addresses up to date in Synergetic. A full overview of this feature can be found at, Parent / Guardian Contact Validation Option for Synergetic Guide (Community Edition).
How it works
Operoo does not automatically update the Synergetic database with the parent’s input, what Operoo does, is, collect the information and allow administrators to download the changes to a format that can be used to upload into Synergetic.
This article describes the process for doing this.
1. Profile Owner updates their contact details
When Profile Owners view their contact details in the Parent/Guardian Contacts page they will see their Synergetic contact information displayed. ie. SC1 or SC2.
This information is pulled (read) directly from Synergetic during the normal Synergetic/Operoo sync process. Whatever is currently stored in Synergetic at the time of the sync is what will be displayed to the profile owner.
Things to keep in mind when viewing the information in Operoo,
- If a field is blank, there is no value in the associated field in Synergetic.
- If you can't see the latest update, wait for the next sync to run.
When a parent makes changes here, the changes are marked as pending and are only stored within the Operoo system.
The profile owner will see the label (pending) attached to the change.
Note, the administrator will also see this same view from the student profile.
These pending changes are added to the parent contacts change report.
Administrators can access this report from the 'View Synergetic Contact Edits' page.
2. Administrator review and approve changes
There are 2 options for getting these pending change requests outside of Operoo into a format you can use to upload to Synergetic.
1. Export the data into Excel. This enables further manipulation of data before importing into Synergetic.
2. Download the SQL statements.
In both cases you can choose to download the pending changes for all contacts, or for specific contacts only. See diagram below.
3. Administrator removes pending changes from Operoo
Once you have actioned these changes, you can mark them off by clicking on the 'I have applied these changes' button in Operoo.
This will clear the selected changes from Operoo. Administrators can view the Applied or Unapplied changes at any time.
What do the Columns mean?
Table
The name of the Synergetic table that the data is associated with. ie. if the change pertains to an address then you will see the Addresses table.
ID
This is the record id belonging to the SC contact record in the associated table. If this is blank, it is because a record does not yet exist in the Synergetic table for this SC contact.
Column
The attribute or field that is being updated in the associated table.
Changing from
The current value held in Synergetic.
Changing to
The new value (change request) entered by the profile owner.
Requested at
The date when the profile owner made the change request.
