The ‘Requires up to date Care Profile’ eForm setting, is an important feature to ensure that a user has completed and shared a Care Profile (Medical eForm) with the organisation.
By selecting ‘Yes’, the parent will be required to have a care profile completed and shared with the organisation in order to respond to that particular eForm (e.g. an event eForm where students are taken on a trip and medical and emergency data is required).
A person will be automatically added to the Medical eForm if they have not already been added.
By selecting ‘No’, the parent will not have to complete/confirm a care profile is accurate to be able to respond to that particular eForm (eg. a media consent form where medical data is not relevant).
Exception 1. - The profile has been set to Managed Locally. In this case the parent does not use the Operoo system and therefore will not receive the eForm or have a Care Profile. Organisations must ensure that they make the necessary arrangements to collect all details and/or consent outside of the Operoo application. Exception 2 - The profile has a Tag applied for medical-opt-out. In this case the user can receive and reply to eForms but is not required to share a Care Profile (Medical eForm). Details and instructions about the medical-opt-out tag can be found here. Organisations must ensure that they make the necessary arrangements to collect the required emergency and medical details and/or consent outside of the Operoo application.
Administrators can easily see who does not have a care profile. Any profile in white, yellow or red will indicate a care profile has not been collected. Once collected, a profile will turn blue.
Staff can easily see who does not have a care profile as indicated by the messaging in the Operoo Central.
