How to check and verify permissions for Operoo SIMS Sync

Please note: Operoo will no longer support new versions of SIMS after July 31, 2023. Specifically, this will end support for the integration between Operoo and SIMS. Operoo's sync tool for SIMS uses a SIMS user account. 
The user account must have the required permissions to read and write certain information to and from SIMS.

SIMS USER ACCOUNT
We recommend that the school IT administrator create a new SIMS user account specifically for the Operoo SIMS Sync Agent.
This new SIMS user account should have full administrator privileges for SIMS.

The only way to check user permissions in SIMS is to log into SIMS on the customer's computer.
This article shows you how to check if the user account has the required permissions.

  1. Lookup table access
  2. Ability to modify student details
  3. Ability to access staff details
If the school also wants to sync pre-admissions information then the following additional permissions are required.
  1. Ability to read pre-admissions details
  2. Ability to read the contact relationships of pre-admissions records

1. Log into SIMS as the Operoo SIMS user (CMUser)
Ask the school to log into SIMS on their computer using the SIMS User Account set up for Operoo.

2. Remote Desktop
At this point, it would be easier to do a remote session to the user's computer so you can see their screen.

3. Check CMUser permission
      3a. Check Lookup table access
  1.       Click on Tools>Lookups>Maintain to make sure the Maintain menu item is not disabled



      3b. Check CMUser's ability to modify student details
  1. Click on the student icon  in the menu bar
  2. Click Browse to see a list of students
  3. Select a student from the list.  Ensure the chosen student's details appear in the panel below the list
  4. Make a change to the student details.  Ensure the  Save  button becomes enabled.


      3c. Check CMUser's ability to access staff details
      CMUser must be able to see the Basic Details and the Contact information of staff members:
  1. Click on the staff icon  in the menu bar
  2. Click Browse to see a list of staff
  3. Select a staff member from the list.  Ensure the chosen staff member's details appear in the panel below the list
  4. Click on Basic Details tab and Contact Information tab and make sure we're able to see staff information



      
       4. Check CMUser's ability to access pre-admissions details
      This part is required if the school wants to sync pre-admissions data.

      4a. View Basic Details of pre-admissions records
  1. Click on the  icon in the menu bar
  2. Click on the search tool.  This will display a list of names.
  3. Double click on any name in the list.
  4. Click on 'Basic Details' section and make sure the user is able to see all details.


      4b. Sync student's phone and email addresses

                  1. Only the student's phone and email marked with location "Home" will be synced to Operoo

                        

      4c.  View the contact relationships of pre-admission records

            1. Scroll down to section 5. Family/Home Details and make sure that the Relationship of contacts is visible
