For Community and Group Editions
Setting up an appointment in eForms can easily be done using the Operoo Group Admin pages. Administrators can use this feature if they need the Care Profile Owners (i.e., parents, adult club members, adult participants, employees, etc.) to go attend an event with different slots and a limited number of attendees.
Below are the instructions.
1. On the admin page, click on Add eForm under eForm.
2. Choose Use an Operoo Best Practice Parent eForm Template and Choose Parent Teacher Interviews - sample. A sample eForm will be shown that you can edit.
3. Edit the title of your appointment. In the sample below, we'll use Performance Evaluation of Year 5 Students.
4. Enter the description in the first box (Description of this excursion or request).
5. If there's an attachment you need the profile owner to review prior to the appointment, use the Attachment for User button. If you need to attach more than one file, just click again on it again.
6. Appointment Time - Maintain the Date and Time of the Parent / teacher meetings by clicking on the Calendar Icon to the right of each scheduled option.
7. Edit the allowed number of attendees for the slot.
Operoo's internal numbering system will keep a record of the slots available - when a parent selects this date and time slot the number will reduce by one. When there is no further slots available that appointment slot will not allow further selection of that date / time.
In this example we have one attendee slot available, so once one person books that time Operoo will not allow further entry.
8. Delete any extraneous slots by clicking the X mark, and add any extra slots by clicking the green plus symbol.
Note: It is worthwhile considering:

The creation of a Textbook question to allow provision for those people unable to attend to indicate this.
- The creation of a Textbook question allowing the indication of further discussion points people may wish to bring up at the meeting.
Leave the Required? option as unchecked to allow the profile owners to continue with the form without ending to fill in these boxes.
9. Click the Save button to save the eForm.
10. Select to whom the eForm is to be sent via the Members <tab> at the top of the eForm display screen.
11. Enable (activate or make live) the eForm via the Settings <tab> at the top of the eForm display screen.
Once done, Operoo will begin sending the appointment invitation.
