For Community and Group Editions
Creating an eForm as a Staff Carer (i.e., teachers, club coaches, team managers, supervisors, etc.) is largely the same as creating an eForm as an Operoo Administrator. This is covered in depth at the link provided in Step 2.
1. Select eForms>My eForms on the top of your Operoo Care Central homepage. NOTE: If the eForms option is not present in this menu, then the Operoo Administrator of the organisation has not allowed Staff Carers to create eForms. Please get in touch with them if you would like this functionality to be switched on.
Click Add Eform and Select Add Parent Form.
Choose whether you would like to Duplicate one of your existing eForm (one which already exists within your organisation's Operoo system), Use one of your eForm templates, Use an Operoo Best Practice Parent eForm Template, or Start from a blank eForm.
2. Creating the eForm
For detailed instructions on the eForm creation process, please see this article: How does an Administrator create an eForm? (steps 1 to 3 only).
3. Adding Profiles to the new eForm
You can do it on Members tab or you can return to the My eForms screen, with all the eForms that you have created listed at the bottom of the screen.
To add profiles to an eForm, click the Manage Members link.
A screen similar below will be shown. The first column will contain all the groups and eForms which the Staff Member has access to and the profiles are shown on the next column. Clicking on the radio button next to the profile name will move it across to the right side.
You can also search for groups, eForm or profiles by typing in the box below the heading. This search can be used to filter by name, or by group.
Once you have clicked the Save button, you are finished and have successfully created an eForm.
5. Enable Eform
In your eForm, select the Enable tab, followed by Enable Now button or you can schedule when this eForm is to be enabled by adding a date and time in the Enter Auto-Enable date and time field. Once enabled notifications are sent to the eForm's members to respond to this eForm.
5. You can now Disable the eForm as required:
After
the eForm is enabled, email notifications are sent as soon as possible
depending on server load and are usually within the next hour or two.
Note: If the Operoo Administrator did not allow the Staff members to enable an eForm, only the admin can enable the eForm. This means that even if Staff Carers have created the content and group list, an Administrator will still have to log in and enable the eForm on his/her end before the system can send the emails to the Care Profile Owners (i.e., parents, adult club members, adult participants, employees, etc.).
When staff create eForms from Operoo Central, they are automatically assigned and delegated to the eForms they create.
